W9 - Upload

To ensure smooth and timely payment processing, please review the following:

  • Veteran Speakers:
    Payments will be issued via check and mailed after the event.
  • W-9 Requirement:
    A completed and current W-9 form is required to process your payment.
    Please note that W-9 forms from previous years cannot be reused.
  • International Speakers:
    If a W-9 form is not applicable to you, please upload a blank W-9 for documentation purposes.
  • Mailing Address:
    Please ensure your current mailing address is provided. Payments will be sent to the address on file.

Relevant travel receipts are due by June 21, 2026. Review your respective speaker agreement for details regarding travel reimbursement.

Model Request

Model request forms are due by June 21, 2026. 

When you fill out your request, think about:

  • How many models you need – We typically provide at 2 per class.
  • Do you need models of a certain gender identity?
  • What ages are you looking for? Adult, kid, teen, baby? Can this be flexible?
  • Are you looking for a specific ethnicity? 
  • Wardrobe
  • Hair & Makeup – These notes are provided to the beauty team.

Speaker Assistant

You are allowed to bring up to ONE assistants with you.

Note: Unless your assistant is your spouse/life partner, speakers MAY NOT provide passes to anyone they have provided passes for in the previously.

If you recruit an attendee who has ALREADY paid for a ticket as your assistant, they WILL NOT BE REFUNDED

Photography Profile

Photography Profile submissions are due by June 15th, 2026.

When completing your submission, please consider:

  • Your photography style and areas of specialization
  • The genres you are most experienced shooting
  • Your preferred lighting and creative approach
  • Portfolio links and recent work examples
  • Social media handles and website information
  • Education, speaking, or workshop experience
  • Any special production or technical requirements

Presentation Upload

As a speaker at Bokeh Academy, if you have slides for your presentation, they are due to us by July 15, 2026. Slides will accompany the replay video on the website.

Please provide us a PDF named as follows “FirstName LastName_Class Title” (i.e. Peter-Griffin_Advanced Lighting Tips), SAVE AS A PDF, and send a shareable link using the form below. Make sure the files are publicly viewable, so that we don’t have to request access to them.

GEAR

All Bokeh Summit will provide all of your lighting equipment. All gear will come from our lighting sponsors Westcott and Nanlite. Please complete the form below to make your request. Please not that this is a REQUEST, we will do our best to get all of the gear that you would like but we cannot definitively guarantee everything will be available.

If you do not need gear and will be supplying your own, please put “N/A” in the form below.

If you require gear from a company that is not one of our sponsors, YOU MUST acquire that gear on your own. Speaker is also responsible for your own cameras and lenses.

If you are working with a brand or company for gear support, you are responsible for coordinating directly with that company regarding shipping, setup, logistics, and on-site requirements.

Sponsor & Promotion Policy

If you choose to use gear or support from a company that is not an official sponsor or exhibitor of the event, that company may not be promoted during your class or workshop in any capacity. This includes:

  • Verbal shoutouts
  • Product promotion
  • Handouts or flyers
  • Brand mentions intended for marketing purposes

Bokeh Summit values and protects the partnerships of our official event sponsors. Any attempt to promote non-sponsoring companies through classes, workshops, or unofficial arrangements may impact future speaking opportunities.

IMPROMPTU / AFTER-HOURS SHOOTS

As a speaker at Bokeh Academy, if you have slides for your presentation, they are due to us by March 13th, 2026. Slides are sent to attendees who are staying at the host hotel so they are expecting to receive them from you!

Please name your document as “FirstName LastName_Class Title” (i.e. John Smith_ Intro to Posing), SAVE AS A PDF, and send a share link using the form below. Make sure the files are publicly viewable, so that we don’t have to request access to them.

Important Guidelines

  • Promotion of after-hours or impromptu shoots as “secret shoots” is not permitted.
  • Creating private notification groups, collecting attendee lists for exclusive access, or directing attendees into private groups for shoot information is not allowed.
  • Any posts or promotions that violate these guidelines may be removed without notice.

You are welcome to post about your impromptu shoot within the official event community; however, posts may only be shared on the same day as the shoot. Early promotions for future-day shoots are not permitted.
